The questions people ask
before they book
Honest answers to everything decision-makers want to know before committing.
Quality & Configuration
Will it sound robotic or obviously system-generated?
No — and this is the question we hear most. The system is trained on your actual email history, which means it learns your vocabulary, your sentence structure, your level of formality, and the way you naturally write.
During the review phase before go-live, you read every test response and flag anything that doesn't feel right. We refine until it sounds exactly like you. Clients consistently find that their contacts can't tell the difference.
Our standard: If you can tell a response is system-generated during the review phase, we don't go live. We keep refining until you're satisfied.
What if it gets something wrong or doesn't know the answer?
The system is configured with clear escalation rules from day one. If a message falls outside its training scope — an unusual question, a complex situation, a special request — it flags the conversation to you immediately with a summary and a suggested response.
It never improvises with something important. Escalation rates typically start at 8–10% in week one and drop below 3% within 30 days, as the system learns your specifics.
How is this different from website automation or self-service tools?
Website widgets and self-service tools follow a fixed decision tree — "is your enquiry about A, B, or C?" They're scripted, live on websites, and fail when a lead says something unexpected.
Handler24 uses advanced reasoning to understand natural language and context. It reads a full email thread, understands what the person actually needs, and crafts a relevant, thoughtful reply. And it operates inside your real channels — email, WhatsApp, SMS — not a website widget.
Can I control exactly what it says?
Yes, fully. During onboarding you provide detailed guidelines: your tone, things you'd never say, pricing rules, qualification criteria, hard limits. All of this is built into the configuration.
You review and approve every response during the testing phase. After go-live, you can request changes at any time — updates are typically live within 48 hours.
Data Handling & Security
How is our data handled? Is the system secure?
The deployment runs in a stateless environment. Enquiry data is processed in the moment and written directly into your CRM, calendar and systems — never warehoused on Handler24 servers. There is no standing database of your clients to breach.
Client conversations are processed in accordance with GDPR and stored securely — they are never shared with third parties, never used to train systems for other clients, and never retained beyond what is needed to provide the service.
We operate as a data processor acting on your instructions as data controller. A full Data Processing Agreement (DPA) is available on request.
In plain terms: Your client conversations stay private, secure, and are used solely to serve your business.
Is Handler24 GDPR compliant?
Yes. All components of the service are GDPR-compliant, with Standard Contractual Clauses covering any international data transfers. Data is stored in the EU or UK by default, though regional options are available.
We provide a ready-to-use privacy policy template as part of onboarding — it takes five minutes to add to your website.
Can you use my data to train systems for other clients?
No. Your client data is never used to train or improve deployments for other firms. The system is configured uniquely for you using your instructions and your business context — nothing leaves your context vault or transfers across to another client.
Operations & Setup
Do I need any technical knowledge to use Handler24?
None at all. Your involvement is a 60-minute onboarding call and reviewing test responses before go-live — around 2–3 hours across the first week. After that, you receive a daily summary email. Our team manages everything behind the scenes.
How long does setup take?
Handler24 typically goes live within 5–7 business days from your first call:
Day 1: diagnostic and configuration call
Days 2–4: system build and training
Days 5–6: your review of test responses
Day 7: go-live
What industries does Handler24 work for?
Handler24 works for any business where inbound lead response time directly affects revenue. Our clients are currently in: residential and commercial real estate, recruitment and executive search, family and commercial law, insurance and mortgage broking, and property management.
If your business receives more inbound enquiries than your team can respond to promptly — Handler24 is likely a fit. We offer free diagnostic calls to confirm fit before any commitment.
What's the difference between Handler24 and hiring a virtual assistant?
A virtual assistant works 8 hours a day, takes holidays, needs ongoing management, and responds at human speed. Handler24 covers every hour of every day, never has an off day, and responds in under 180 seconds.
| Factor | Human VA | Handler24 |
|---|---|---|
| Response time | 15 min–4 hrs | Under 180 seconds |
| Hours covered | 8–9 hrs/day | 24/7, 365 days |
| Annual cost | £18K–£28K | £8,364–£17,964 |
| Consistency | Variable | Identical every time |
| Sick leave / holidays | Yes | Never |
Pricing & Commitment
How much does Handler24 cost?
Plans are scoped and priced per firm. A 30-minute call with our team confirms the right tier and investment for your business.
For context: a competent human SDR costs £28,000–£42,000 per year in salary, before employer NI, benefits, and management time. Handler24 typically costs 30–40% of that — and works nights, weekends, and bank holidays.
The payback calculation: If Handler24 captures one additional deal per month that would otherwise have gone cold, it typically pays for itself within 30 days.
Is there a contract? What's the minimum commitment?
We operate on rolling monthly terms after an initial 3-month period. The 3-month commitment exists because the system genuinely improves over that window — the first 90 days include performance refinement that takes time to complete properly.
After 3 months: 30 days' notice to cancel. No hidden terms, no lock-in.
What's included in the monthly fee?
Everything required to keep Handler24 performing:
Full technical management and deployment
Monthly system refinement and learning
Response quality monitoring
Updates when your business changes
Escalation rule management
Monthly and quarterly performance reporting
Priority support via WhatsApp and email
In short: You are paying for a fully managed service — not software you have to run yourself.
What happens if I cancel?
After the initial 3-month period, 30 days' notice and the deployment is yours. You keep all workflows, integrations, and data. The system runs in a stateless environment with no client data warehoused on Handler24 servers, so migration or self-management is straightforward.
There is no vendor lock-in by design.
